Four types of roles to solve different problems
| role | Main responsibilities | Need to be clear |
|---|---|---|
| Receiving doctor | Medical History, Diagnosis, Treatment Options, Risks, and Medical Decisions | What language do I use and how do I ask questions and get explanations. |
| Coordinator | Appointment, data reception, time and process notification | Working hours, emergency issue transfer methods and scope of responsibilities. |
| Medical Translation | Accurately convey the expressions of doctors and patients | Whether consultation, informed consent and important operational communication are covered. |
| Billing and Laboratory Contact | Transactions such as price, report sending, saving and renewal | Who is responsible for the administrative interpretation and who is responsible for the medical interpretation of the report. |
A coordinator can help explain scheduling, while the treating physician explains clinical decisions. Direct questions about the medical reasons for treatment to your physician or the appropriate clinical professional.
The doctor’s personal language in public information
| Doctor | Publicly listed personal language | Clinic information |
|---|---|---|
| Bradford A. Kolb | English | HRC doctor information |
| Daniel A. Potter | English, Spanish | HRC doctor information |
| John G. Wilcox | English, Spanish | HRC doctor information |
| James P. Lin | English, Mandarin, Taiwanese | RFC / INCINTA |
| Zitao Liu | English, Mandarin | RFC / INCINTA |
| Vicken Sahakian | English, Arabic, Armenian, French | PFCLA Physician Information |
This table records the verified personal page language. Some institutional teams support Chinese, which does not mean that every doctor directly speaks Mandarin. Whether other doctors can provide consultation in Chinese can be further informed when making an appointment.
How to start contacting from the public entrance of the hospital?
| Organization | Checkable entry | Communication focus |
|---|---|---|
| HRC | Official website WeChat and international patient section | Describe the target doctor and required language, and implement consultation and translation arrangements. |
| RFC | Official Chinese hotline +1 (626) 388-6022 | Distinguish between physician consultation, coordination and billing matters. |
| INCINTA | The hospital’s public contact number and email address | You can first read Lin and Liu's personal language, and then ask about the appointment arrangement. |
| PFCLA | International Patient Page | Introducing remote consultation and translation services. |
| SCRC/RPMG | Institutional contacts and international patient related information | State the Chinese requirements in advance and do not infer the language based on the name of the organization. |

How to prepare translations and questions before remote first consultation?
Please indicate the patient's country, time zone, participants, and language when making an appointment. The report retains the original version, unit, and reference range. If a translation is required, please attach it according to the hospital's requirements. It does not only retain the self-translated conclusions.
Separate the questions by "medical treatment, expenses, and itinerary". You can list the three to five most important medical issues first; when translators are involved, short sentences, asking questions one by one, and repeating for understanding can help reduce missed listening.
Before the consultation ends, ask the other party to confirm the name of the drug or examination, the next task and the result return method. When it comes to medication dosing, it is important to get clear written orders rather than just relying on a verbal translation to memorize them.
Several words that are easily confused in translation
| English | Common Chinese meanings | Why should we distinguish |
|---|---|---|
| Egg retrieval | Egg retrieval | It is not a transfer, the time and preparation are different. |
| Embryo transfer | Embryo transfer | Possibly performed in another cycle after egg retrieval. |
| Mature oocytes | Mature egg | Different from the total number of eggs retrieved. |
| Blastocyst | Blastocyst | Describing developmental stages does not equal genetic testing results. |
| Clinical pregnancy/Live birth | Clinical pregnancy/live birth | are different outcome indicators. |
| Storage/Thawing | Save/Resume | Usually different services and billing items. |
Informed Consent, Privacy and Emergency Communication
Before signing the consent form, you must be able to understand the main operations, risks, alternatives, sample use and storage authorization. If you have any questions about the terms, please ask the medical team and translator for explanation first. Do not sign directly or skip due to tight schedule.
Medical records are transmitted through the channels designated by the hospital, and complete certificates or medical records are not sent in public messages. Coordinators may not provide immediate medical response throughout the day; after-hours contact, medication issues, and emergency care channels are documented before departure.
Chinese Service FAQ
Does being able to chat on WeChat mean that the doctor can speak Chinese?
Doesn’t mean. WeChat may be the tool used by the international reception or coordination team, and the doctor's language still needs to be checked individually.
Can accompanying family members replace medical interpreters?
Family members can assist in communication, but important diagnosis, treatment and consent matters should be arranged according to the hospital to avoid missing or misinterpreted translations or letting family members express decisions for patients.
Can the English report only read the translated word "normal"?
Not suitable. The complete original text and numerical values should be retained, especially the detection range, limitations, no results or content that requires review, and should be explained by professionals.
